We are currently recruiting for an Administrator - FM Central Administration to join our Facilities Management Team in Dubai.
Scope
Coordinate with the Facility Management team and provide support for daily operations.
Responsibilities
- Provide administrative support to the Facilities team
- Coordination with Procurement for sub-contractor jobs, contracts, and variable work
- Roster preparation and maintaining staff T&A
- Raise purchase requests & GRN on time to support operations
- Keeping updated record of the tasks
- Proper coordination between Operations and Management
- Monthly report preparations
- Ensuring compliance with health and safety regulations
- Keep the subcontractor document/service reports for reference
- Maintain an updated record of invoices
- Filing of all related documents
- Keeping track of Assets and Machineries
- Provide CAFM support
- Reporting/Recordkeeping
- Coordinate with site supervisors/managers on chemicals and consumables used and prepare a summary report every end of the month (inventory)
- Submit daily task report to line Manager on a regular basis
- Document processes and keeping maintenance records
- Ensure compliance with health and safety regulations
- Consolidation of stock report
- Ensure timely follow up with relevant team to ensure smooth FM operations
- Raise invoices in the system and keep the record monthly
