Administrator - Transactional Shared Services

We are currently recruiting for an Administrator - Transactional Shared Services to join our Group Human Resources team in Al Quoz, Dubai.

 

Scope: Administrator is responsible for the day to day running of the Onboarding program of the Group HR Team, by upholding strategic plans, both long and short term, aligned to the business growth strategy. The Administrator will be required to support the overall objectives and tactics implemented at both a group and business unit level, ensuring each business unit has a solution that meets their individual requirements but balances group efficiencies.

 

The Administrator will be responsible to positively contribute to a collaborative and supportive Employment Visa Processing, Government Medical Registration, Emirates ID Registration, Residency Visa Processing and Visa Cancellation functions. They will be responsible for building and maintaining trusted relationships with all levels of employees, ensuring the service they provide fully supports the business needs, ensuring they provide a proactive customer service focused, first class Transactional Shared Services delivery. 

The Administrator will work under the management of Manager - Transactional Shared Services to further enhance and implement the service offerings available in addition to providing a streamlined and efficient process through the automation and utilization of the available HR systems.

 

As a member of the HR team, the Administrator will be a role model for the business to live and breathe the vision, mission, and values of the organization.

 

Responsibilities:

 

Analytics

 

  • Measuring and validating of metrics that are applied by the business to assess and drive productivity optimization
  • Recommend innovative methods that aid in the achievement of measurable improvements in metric results and which avail actionable people management solutions and strategies
  • Collation of reports for MPR, Control Rooms, CCM Logs, Balance Scorecards and all other TG reporting tools working with the Head/Management of Department

 Relationships

 

  • Develop a relationship with all levels of employees as a subject matter expert on all Transactional Shared Services areas, developing strong and collaborative relationships
  • Be able to positively contribute to meetings with the various business departments, building a reputation of trust
  • Contributes to HR department meetings and the recommendation of solutions for the Transactional Shared Services department, business department, and business-wide challenges

Operational Delivery

 

  • Delivery of all day-to-day activities of a multi-site team ensuring service SLAs based on the levels current in the Transactional Shared Services Process
  • Manual as updated; Ensure that communications to key stakeholders are provided in a concise and timely manner
  • Delivery of resolutions for incoming calls via telephone, portal, drop-in and e-mail to ensure courteous, timely, and effective resolution of customer issues
  • Ensure appropriate escalations are carried out in a timely manner to Manager - Transactional Shared Services
  • Identify problems and recommend solutions to increase computer literacy and self-sufficiency
  • Adherence of help sheets, usage guides, and FAQ lists for internal stakeholders
  • Adherence to Transactional Shared Services training procedures and policies
  • Delivery a complex, highly pressurized Transactional Shared Services service with a responsibility of processing all related applications - working closely with the business units to ensure that the service delivered achieves their goals and customer satisfaction
  • Adherence to company policies, procedures and governance in a consistent way and that non-compliance and complaint processes are followed and correctly utilized to input to the continuous improvement process
  • Employment Visa Processing, Government Medical Registration, Emirates ID Registration, Residency Visa Processing and Visa Cancellation functions. They will be responsible for building and maintaining trusted relationships with all levels of employees, ensuring the service they provide fully supports the business needs, ensuring they provide a proactive customer service focused, first class Transactional Shared Services delivery
  • Audit and Compliance of all Transactional Shared Services processes within agreed Service Level Agreements
  • Strive for the service delivered to become recognized as a world class business support function, working closely with Business Unit points of contact to identify key service requirements and opportunities relating to site and construction services staff
  • Ensure a smooth operational service is provided at all times to the business, taking into consideration annual leave and absence
  • Comply with all applicable legal and regulatory requirements and, where appropriate, best practice
  • Comply with appropriate standards of conduct
  • Ensure all governance; strategy are complied with and daily operations are executed to plan, completed within the agreed timeframes and all KPIs are met
  • Communicate with staff at all levels on any issues relating to the Transactional Shared Services approval process
  • Review all applications as per company policies and procedures
  • Resolution of any potential issues that occur, including late receipt of applications which may result in a negative impact on the operation

 

Continuous Improvement

 

  • Identify key opportunities within the Transactional Shared Services team relating to system improvements, automation, integration and process improvements which bring about key efficiencies within these areas
  • Assist the Manager - Transactional Shared Services in the identification of system improvements, integration and automation opportunities
  • Follow a standard change process including User acceptance testing, parallel running and documentation of new processes Constantly innovate process, think outside of the box
