Job Description

Transguard is now looking for a Bid Coordinator - Sales Support to join our Sales Support division. In this role, you will be responsible for registering with new entities for Business Development purposes, maintain existing registrations and compliance to pre-qualification requirements of opportunities. The Bid Coordinator will also be responsible for proposal production while ensuring the quality, accuracy, and timelines of actions.

 

In this role, your responsibilities include the following:

  • Managing multiple tender portals, registering expressions of interest, submitting tender/PQQ returns and posting/receiving queries
  • Liaising with staff in all departments to collate technical information to use in pre-qualification questionnaires (PQQ), responding to invitations to tender (ITT) and business proposals
  • Managing production and delivery of compliant, professionally produced proposals within customer defined timeframes
  • Coordinating proposal input from a variety of stakeholders, typically involving contributions from sales, marketing, operations teams, and business functions
  • Champion document management and change control best practices
  • Ensuring proposal documents follow standard formatting and quality standards
  • Providing advice on flow, language, and grammar to content owners
  • Consolidating sections and / or documents developed by other team members into the required tender format ensuring that all elements of the questions are answered comprehensively
  • Maintaining master document sets
  • Ensuring consistent branding for all company specific documents
  • Managing the meeting calendar, setting up meetings as required by the bid programmes
  • Conducting bid governance / compliance
  • Responsible for the coordination and conversion of leads received and created

Skills

The ideal candidate will have the following skills and qualifications:

  • Excellent knowledge in MS Office - Excel, PowerPoint, Word
  • Proficiency in Acrobat DC and Salesforce
  • Basic knowledge of bid management and document control
  • Commercial awareness / business acumen
  • Record / document management
