Job Description

Concierges act as the first point of contact between guests and an organization. They are tasked with answering guest inquiries, directing phone calls, coordinating travel plans, and more. They must uphold company culture at all times while making guests feel welcomed and valued.

 

Job Responsibilities / Accountabilities

 

  • Must be in formal attire at all times (suits etc.)
  • Be very presentable and have excellent verbal and written communication skills in English.
  • Able to help owners, tenants, visitors fill in the correct paperwork and collect all relevant documentation. This then passed to building management.
  • Maintain data base as required by the client.
  • Must be well versed in Customer Service skills, telephone handling skills, liaising with on-site technical team, housekeeping and security staff.
  • Shall be the point of contact for all Residents living within the buildings for all request follow-ups.
  • Shall record entry and exit of all visitors, contractors, sales people, estate agents and delivery personnel entering the building via reception. No unsolicited persons to be allowed to enter the resident floor areas (unless deemed a security function).
  • Shall maintain the Main Reception by liaising with housekeeping, security and MEP teams.
  •  Shall take control of mail distribution.
  • Shall maintain contact database of every Resident (tenant/owner) within the building.
  • Shall maintain all emergency contact details of building staff, management staff, contractors and Residents of the building.
  • Prepare and maintain a list of companies located within a 3 km radius that provide food delivery services, grocery stores/supermarkets, laundry services flower arrangements, maid services, car cleaning services et al.
  • Prepare and maintain a list of restaurants, hotels, hospitals, pharmacies, movie theatres, courier companies, taxi services etc all located within short distance of the building.
  • Be the “front face” of the building in following up and resolving all customer complaints and requests.
  • Any other related duties as assigned from time to time by the Building/FM Manager.
  • Look after flower arrangements in common areas. 
  • Maintain emergency contact details of all relevant staff for the building.
