Job Description

We are currently recruiting for an Executive Assistant & Office Manager to join our team at Transguard, in our HQ located in Dubai Airport Free Zone.

Scope

The job holder is responsible to support the CEO and CFO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently. The job holder will also be responsible to handle the facilities management of the head office.  

Responsibilities

  • Manage the CEO and CFO’s calendars, including making appointments and prioritizing the most sensitive and important matters
  • Organizing internal and external meetings, including scheduling, sending reminders, and organizing catering when necessary. Take MOM when required
  • Arrange gate passes, parking and welcome guests of the CEO and CFO
  • Communicate with shareholders when required and respective EAs
  • Make travel and accommodation arrangements for executives when required
  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage the Facilities Management team of TGHQ in order to ensure the head office consistently functions at peak efficiency
  • Manage the office petty cash and receipts submissions
  • Manage the office driver and his schedule
  • Maintain professionalism and strict confidence with all material

Skills

Knowledge - Experience

  • 5 years of experience in a similar position including 3 years in the GCC region

Technical skills

  • General knowledge in MS office

Hard skills

  • Proficient English speaking and writing level
  • Computer literate
  • Logical thinker
  • Highly organized and attentive to details

 Soft skills

  • Communication, work ethic, trustworthy, teamwork, problem solving, self-motivated, forward thinking
  • Flexibility and adaptability
  • Proven work experience as an Executive Assistant reporting directly to C-Suite Executives
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
