Job Description

Transguard Workforce Solutions is currently seeking an Operations Manager to oversee all payroll and invoicing activities for the WFS BU. Managing a team, the Operations Manager will act as a support function to the WFS Account Management team and ensuring all BU specific commercial processes are managed.

 

The ops manager should provide high quality and accurate payroll and invoicing support to both the Account Management and HR Administration Teams. The role ensures that all WFS Clients are billed as per the commercial agreements and all ad hoc invoicing and variations are invoiced and tracked. All payroll processing as per payroll cycles are managed from end to end and accurate reporting provided back to the account management team. Ensure P&L accuracy and maintain all invoicing through Oracle HRMS. Ensure that all client specific systems are managed such as Fieldglass VMS and SAP Ariba.

 

In this role your responsibilities include:

 

Payroll

 

  • Manage end to end payroll management working with the Group Payroll Team and WFS Account management team
  • Ensuring payroll cycles are met
  • Deliver payroll accuracy by correct element classifications
  • Ensure all employee payroll data is accurate and processed on time
  • Ensure any payroll queries are addressed
  • Manage the full and final process for employees
  • Ensure payroll elements are used correctly and that all commercial accruals are managed as per agreements
  • Create and maintain operational summaries of all accounts and document via S.O.P.’s any client specific processes
  • Document all payroll processed via S.O.P.’s
  • Manage GPSSA
  • Manage Timesheets for clients and convert into payroll GTN Files
  • Manage Time and Attendance software

Invoice   

  • Ensure all clients are invoiced on time as per commercial agreements
  • Ensure all invoices such as monthly payroll and ad hoc invoices are created and tracked
  • Use client specific invoice systems
  • Verify invoice accuracy
  • Maintain a calendar for ad hoc billing under each contract
  • Generate TG ID wise profitability reports
  • Handle debtor queries and work with finance team
  • Accurately invoice full and final settlements and validate correct element classification
  • Reduce time taken to invoice and develop new digital transformation ideas
  • Maintain accurate workflows for client specific invoicing processes
  • Generate reports on Contract Profitability
  • Work with FP&A team to ensure revenue accruals are managed correctly

 Administration 

  • End to end Cash management and cash requisition
  • Contract securities management
  • Credit note management and administration
  • Initiate commercial renewals with Account Management team
  • Manage TG specific systems such as Effiroll
  • Validate billing entries
  • File documents
  • Maintain accurate records within Oracle
  • Support the BU and wider TG group on ad hoc project specific requests and activities

 Team Management  

 

  • Ensure workload is evenly distributed amongst the team to ensure deadlines are met
  • Lead the team to deliver service excellent
  • Provide reporting to the BU Director on a weekly basis with activities and monthly progress
  • Lead contract profitability reviews for the BU
  • Provide account management team with require reporting on ad hoc basis.
  • Ensure that work is managed efficiently through peak times during the month
  • Develop digital transformation initiatives to improve processing time and accuracy for Payroll and Invoicing
  • Transition all ad hoc billing into standard conditions

Skills

 

  • 3-5 years of experience similar position
  • 3-5 years of experience similar industry
  • 2-4 years of experience in a management role
  • 0-3 years of experience in the Middle East
  • Knowledge of UAE Labour Law
  • Human Resources Administration
  • Staffing Industry background
  • Profit and Loss Understanding
  • Payroll and Invoicing experience are mandatory
  • Good understanding of commercial agreements
  • Strong communication and customer service skills
